Booking Terms & Conditions

(as at 1st June 2026)

1. Introductions and Definitions

The Coast & Country Club Limited is a holiday property management company and shall  be referred to as the “Management Company”, “we”, “us”, and “our” in these terms and  conditions.

There are a number of other definitions within these terms and conditions, and these are as detailed below:

• “Owner” means the legal owner of the property, Mr and Mrs J Edwards;

• “Guest” means the person making the booking and all members of their party staying in the holiday accommodation;

• “Property” means the holiday property that the Guest has booked, namely The Old Manor or the Cottage at The Old Manor, or both;

• “Deposit” means a deposit of 30% of the total holiday accommodation cost (which includes any extras selected at the time of booking); and

• “You” means the lead guest making the booking.

When you make a booking, you are confirming that you and every Guest understands, agrees and accepts these terms and conditions. Please read them carefully.

2. Contract and Booking

We act as agent for the Owners. The contract to occupy the Property is between you and the Owners.

Bookings cannot be accepted from persons under the age of 18.  

The Property is meant to be used for the purposes of a holiday, and certain group bookings may not be allowed unless special agreement has been made with us or the Owners. Stag bookings will not be allowed. Hen bookings may be allowed with prior written consent at

the time of booking.

The maximum occupancies of the Properties are as follows:

• The Old Manor – 12 adults and up to 1 infant

• The Cottage at the Old Manor – 2 adults and up to 1 infant

• The Old Manor and the Cottage – 14 adults and up to 2 infants

No bookings are valid until confirmed by us in writing (this does include email).

A booking is confirmed when we or the Owners issue a written confirmation after receiving the Deposit.

Once a booking is confirmed it cannot be changed by you, unless agreed by the Owners, or by us on behalf of the Owners. If we, or the Owners, agree to make the requested change to your booking then you will be required to pay a £25 per change admin fee.

3. Payments, Deposits and Balance Payments
A booking made more than 8 weeks prior to the holiday arrival date will be required to pay a Deposit. The remaining balance will be due no more than 8 weeks prior to the holiday start date.

A booking made less than 8 weeks prior to the holiday start date will be required to pay the full balance for the cost of the holiday at the time of booking.

We reserve the right, on behalf of the Owners, to cancel your holiday and re-let any holiday, where any payment due is more than 7 days late. In these circumstances you will not be entitled to any refund.

4. Security Deposit

A refundable security deposit (the “Security Deposit”) of £500 for The Old Manor, and £250 for the Cottage at The Old Manor (or £750 when both properties are rented at the same time) is required to cover damage, breakages, or excessive cleaning.
The Security Deposit will be due at least 7 days prior to your holiday start date. It will be cashed upon receipt and held by us to be applied against the reasonable costs of making good any loss or damage at or to the Property and/or its contents caused through act or
omission during the period of booking by you or other Guests. The balance of the Security Deposit will be returned to you within 14 days of the departure date.
If damages or breakages exceed the Security Deposit amount, then you agree to pay such excess to the Owners promptly at their request.

5. Cancellation Policy
All cancellations must be made in writing. 

If you choose to cancel prior to your holiday arrival date, then you may be due a partial refund from the Owners.

If any refund is due, it will depend on the amount of notice you give us, or the Owners, before the holiday start date.

Any refund due will be calculated as follows:
• 21 or less days’ notice – no refund
• 22 – 31 days' notice – 10% refund of the total accommodation cost
• 32 - 45 days' notice – 20% refund of the total accommodation cost
• 46 - 55 days' notice – 40% refund of the total accommodation cost
• More than 56 days' notice then there will be no liability to pay the balance, however the Deposit will not be refundable. If the holiday has been paid in full, and is cancelled in writing more than 56 days prior to the start of the holiday, then a refund of 70% of the total accommodation cost will be provided. Where any refund is due, then we will aim to return the applicable monies within 14 days of cancellation.

We recommend that you, and all Guests, have suitable travel insurance in place.

If for any reason the Owners cannot make the Property available to you for your booking, then we will try to help find you suitable alternative accommodation for your holiday dates or we will arrange a refund from the Owners of all amounts you have paid for your
accommodation costs.

6. Arrival & Departure
• Check-in at the Property is from 4pm on the arrival date.
• Check-out at the Property is by 10am on the departure date.

Any late departures may incur a charge.

7. Guest Responsibilities
You will ensure that you and all Guests will:
• Act responsibly and carefully at the Property, abiding by the Property house rules, and leave the Property and all things in it, in the same state of repair and cleanliness as at the start of the holiday;
• Comply with all safety instructions provided in the Property house rules;
• Report to us any damage or breakages made during your stay;

• Not smoke or vape at the Property;
• Not allow more than the maximum occupancy of guests or pets at the Property (unless there has been prior agreement expressed in writing from us or the Owners);
• Respect our community; you are renting accommodation in a residential setting, so please be considerate of our neighbours. Quiet hours are from 10pm onwards.
• At all times comply with any applicable laws and ensure that all Guests and pets do the same. Do not do anything illegal at the Property or do anything that may cause unreasonable damage, noise, behaviour or disturbance;
• Please make sure you switch off lights, and electrical items when not in use;
• Please do not take any of the towels supplied at the Property to the swimming pool or beach;
• Please ensure all rubbish and recycling methods are adhered to as per the Property house rules;
• Please ensure all keys are returned at the end of your stay. Any missing or lost keys will be charged for at a cost of £40 per key;
• You are responsible for the supervision of all Guests under the age of 18 at all times at the Property;
• Fireworks, Chinese lanterns, candles and portable BBQs are prohibited at the Property; and
• Secure the Property (including all windows and doors) whenever leaving the Property.

8. Hot tub
If you choose to rent the hot tub as part of your holiday, then please read the Property house rules with full details of how to use the hot tub safely during your stay.

9. Owner Responsibilities
The Owners will ensure that:
• The Property is cleaned and ready for the Guests at the stated arrival time;
• Clear communications are made as to how to access the Property in advance of arrival;
• We can be easily contacted throughout your stay for any assistance that may be required;
• They, we and the Property comply with all applicable laws and regulations (including health and safety regulations);
• Adequate liability insurance is in place in respect of any Guests’ stay; and
• Guests will have exclusive enjoyment of the Property they have booked for the duration of their holiday (although Guests will allow us or the Owners access to the Property if reasonably required).

We, and the Owners, will not be responsible, nor liable to you or any of the other Guests, for any events outside the Owners or our reasonable control, such as the breakdown of domestic appliances or the hot tub (if this has been booked), plumbing, wiring, Wi-fi etc, damage resulting from exceptional weather conditions or other unforeseen circumstances.

10. Pets
Dogs are only permitted at the Property with prior written agreement.

Dogs are an additional charge of £30 per dog, up to a maximum of 2 dogs.

Up to 2 assistance dogs will always be allowed at the Property, and there will be no charge for assistance dogs. Please notify us at the time of booking of any assistance dogs.

Guests must ensure pets are well-behaved, supervised, and do not cause damage or disturbance.
Dogs must be kept under strict control at all times while in or on the Property. Dogs must not be left alone at the Property at any time.

All fouling must be cleaned up without delay and disposed of appropriately.

Dogs are not allowed in bedrooms and must not sit or lie on any of the furniture.

Dogs should be free of parasites and/or fleas prior to the start of any stay at the Property, and a failure to follow this rule may incur additional charges.

Any damage caused by Guest dogs must be immediately reported to us.

9. Liability
We nor the Owners accept no responsibility for personal injury to, or death of, Guests or anyone they invite into or onto the Property, or loss or consequential loss or damage to their personal effects, or for other matter over which we or the Owners have no control. Guests
are responsible for their own safety and that of their party.

Nothing in these terms and conditions will limit our or the Owners’ liability where it would be unlawful to do so. This includes liability for death or personal injury caused by our or the Owners’ negligence or the negligence of ours or the Owners’ employees, contractors or
agents, or for fraud or fraudulent misrepresentation.

11. Descriptions, photographs and amenities
We have complied the information about the Property on our website and any third-party platforms as accurately as possible. However, facilities may be altered or withdrawn for reasons outside of our or the Owners control, in which case we cannot accept responsibility.

You accept and acknowledge that any booking made will be subject to the information contained and displayed on the website or any third-party platform.

We and the Owners make every effort to ensure that the Property details are accurate and that the pricing and availability of the Property is correct. Mistakes may occur from time to time, and we reserve the right to rectify any such mistakes within 7 days of you making
the booking.

Wi-Fi is provided subject to network conditions. It is provided on the basis of leisure use, and not for the purposes of business.

12. Complaints
If you have any complaint concerning the Property, the matter should be taken up with us as soon as possible. We, along with the Owners, will do our best to resolve your complaint, where possible. It is important that you raise any complaint whilst you are still at the
Property.

11. Data Protection (GDPR)
We and the Owners will collect and process personal data in accordance with the UK GDPR and Data Protection Act 2018. Data will only be used for managing your booking and legal compliance.

Guests have the right to access, correct, or request deletion of their personal data.

12. VAT
All prices quoted are inclusive of VAT (where applicable).

13. Force Majeure
The Owner is not liable for events beyond their control, including but not limited to extreme weather, natural disasters, pandemics, or government restrictions.

14. Governing Law
These terms are governed by the laws of England and Wales, and any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
